User Manual - Resources Module
From DotProjectWiki
USER MANUAL LINKS
The resources module is used to setup non-human resources that can then be assigned to tasks as required. Non-human resources mean items like equipment, venues or facilities and tools.
Please remember that this module is NOT available in 1.0.2 and earlier versions. It is also a sponsored development and operates as per the client's specific requirements.

1 Enabling the Resources Module
The resources module may have to be enabled for it to be visible - see Module Management for details
2 Resource Display
The main resource listing shows all available resources with the standard, dotProject method of breaking the listing down into "category" tabs to streamline the view.
The information displayed is:
| ID | Identifier for the Equipment / Item |
| Resource Name | Full human readable name of the resource |
| Max Alloc % | Indicates the amount of time available to be allocated - see Adding / Editing Resources below |
3 Adding / Editing Resources
Resources must be added to the database before they can be assigned /used at the Task level.
When adding a new resource you complete the following details:
| Resource ID | Enter a unique identifier for the resource - could be a barcode / alpha-numeric code / alpha code, whatever suits your requirements |
| Resource Name | Enter a Full Name for the resource - this will be the item that is shown in most selection lists |
| Type | Select the type of resource from the drop down box (this is the tab category). |
| Maximum Allocation Percentage | Use this percentage setting to dictate the amount of available time that this resource can be allocated to task for. For example 100 would mean that the resource was available 100% of the time to be allocated to tasks. Using 50 would indicate that there is a limit to the amount of allocation that can be made of this resource. Perhaps you would use this for something that was not 100% available to just dotProject projects. |
| Notes | Use this field to provide some sort of full description for the resource. This may be useful, for example, to outline the facilities in a venue or the add on requirements for a piece of equipment. |
To edit a resource click on the resource name and dotProject will display the full details of that resource. There is an edit resource crumb at the top of the screen which allows you to modify that entry as required.
4 Showing Resources Assigned to Tasks
Resources are assigned to tasks via the Other Resources tab in the lower half of the main task display. The tab displays:
| Resources | Shows the resources that have been assigned to tasks within this project |
| Assigned to Task | Lists the tasks that the resource has been assigned to |
5 Assigning Other Resources to Tasks
Other resources are allocated to tasks via the Task Edit option > choose the Other resources tab.
There are two main listings - one including all available resources, the other showing any resources assigned to the current task.
At the bottom of this listing is an arrow pointing from the resource listing to the assigned resources listing, a % box and then an arrow in the reverse direction.
Use the < arrow to remove a resource assignment from the current task.
To assign a resource to the task, firstly select the % required, then use the > arrow to assign the task.
5.1 % Allocated
Percentage allocated is used to control how much of the resource is allocated to a particular task. dotProject has been coded to ensure that a resource is not over allocated. For example:
- You have a piece of equipment that is available to dotProject Projects for 100% of its time.
- You have one task that the resource is allocated to for 100% of the time.
That resource is now not available for any other tasks.
- You have a piece of equipment that is available to dotProject Projects for 100% of its time.
- You have one task that the resource is allocated to for 80% of the time.
That resource is now available for another task for 20% of the time.
If the resource is available for 80% of it's time, then you can have 100% of the 80% time available.
(Please note - this has been specifically developed according to a user's requirements).
6 Deleting Resources
6.1 From a Task
To delete a resource allocation at a task level, follow the instructions outlined in Assigning Other Resources to Tasks
6.2 Out of the Available Resources
From the Resource Module, select the resource to be deleted and display the detail view by clicking on the resource ID or name. There is a delete resource option at the right hand side of the screen to remove the resource from the database. If the option does not exist then you may not have delete permission for that module.
